Planning is well underway for our CISVDC Summer Village from June 24th through July 21st, 2011. Hosting is one of the most important functions of our chapter, as it is through hosting that we gain invitations to travel.Hosting requires lots of effort, and that effort is best spread among many chapter members so as not to be overwhelming to any one person or group of people. So please take a moment to go over the various committees which require volunteers and indicate where you can help.
One final note CISV DC is totally run by volunteers, and we need lots more volunteers. Let us show you how much fun it is to be a part of this organization. You will see that the experience is good not only for your children but for YOU as well!! Noted below are areas where Youth can contribute.
FOOD COMMITTEE
Coordinate additional food for Village other than what is provided by the site. Each area can be staffed by a different sub-committee. This includes: Plan and deliver meals for the staff and leaders the first weekend ( 23 adults).
Three supplementary dinners for the camp (one per week for 71 people) Pizza Night, Hoagie Night and 1 other night.
Obtain donations from members and businesses to supply snacks (roughly two snacks per day for 71 people for 23 days). Deliver snacks or coordinate delivery of snacks to the Village.
Provide snacks and drinks for special events.
CAMP STORE COMMITTEE
Coordinate and procure merchandise for the Village store Stock store prior to camp start; pack up at the end of the Village
Check periodically with Village Director to replenish stock
SUPPLIES COMMITTEE
Coordinate materials and art supplies which will be needed by the Village Director Purchase and deliver materials to Village
HOMESTAY COMMITTEE
Recruit host families and arrange for two homestays for Village participants. Families needed for 12 delegations of four. Delegations can be split up by gender (2 girls or two boys). Collect proper forms for background checks. Execute background checks.
Conduct Homestay training to supply all information, rules and contact and emergency numbers.
With Transportation committee, arrange for airport pick-up and delivery of leader to camp and youth to homestay (usually the homestay family).
With Transportation committee, arrange transportation to get delegations back to the airport at the end of the Village.
LAUNDRY COMMITTEE
Volunteers gather at laundromat to wash/dry/fold bedding and kids laundry expected to be once during the Village. Check with Village Director for weekly laundry needs.
DEDICATION DAY
Work with Director and Planner to coordinate activities for Dedication Day. Send invitations to chapter members and sponsors.
Coordinate design and printing of Dedication Day program.
SPECIAL EVENTS / EXCURSIONS COMMITTEE
Coordinate arrangements for excursions away from the Village in conjunction with Director. There will likely be 2-3 excursions and we expect they will be a shopping trip (Villagers can walk to shopping area), a sightseeing day in Downtown DC or a baseball game, or a trip to a water park.
LEADERS WEEKEND COMMITTEE
Work with Director and Planner to coordinate a weekend off for the leaders. While the leaders are reenergizing the Villages will be staying with their homesaty families.
SET-UP AND CLEAN-UP COMMITTEE
Set up (June 22-23) and clean up (July 22-23) of Village, utilizing volunteers from the chapter, including JB members. One adult must be present for every 3 JBs.VILLAGE PHOTO
Coordinate with the Planner and Director to take the group Village photo as well as delegation photos when convenient. Have a group photo printed for all program participants to go home with and for the volunteer thank you.
